Map the route from source to report
A production booking system, inventory tool or subscription platform may hold information the ledger does not. We decide which records create sales, payments and stock movements, then identify the reconciliations connecting them. An integration should not duplicate an event already recorded elsewhere.
The scope can include opening balances, tax codes, account structure, customer and supplier setup and bank-feed rules. Available functions depend on the actual subscription and applications, so capabilities are checked before being promised.
Test ordinary and unusual transactions
A refund, credit, internal transfer and customer advance are useful checks of the workflow. We trace representative records into the ledger and compare the outcome with the intended treatment. Exceptions need a review path rather than a rule that forces every item into the same account.
Illustrative example: rental software and the bank feed
A Burnaby equipment supplier’s booking system records customer invoices and advances. The bank feed then receives the processor payout. Matching the payment to existing balances avoids recording another sale, while the settlement report explains fees and amounts still held.
